Lanoha Nurseries, Inc is adding an Administrative Assistant to provide comprehensive administrative support to our Senior Residential Landscape Designer, ensuring efficient office operations and contributing to the success of landscape projects. This role involves managing daily tasks, handling internal communication, scheduling appointments, and maintaining project documentation. The ideal candidate is highly organized, detail-oriented, and capable of multitasking in a dynamic environment.

Requirements

  • High school diploma or equivalent; associate or bachelor’s degree in business or a related field is a plus! 
  • Proven experience as an administrative assistant or similar role. Experience in construction office setting is a plus! 
  • Strong organizational and time management skills. 
  • Excellent communication skills, both written and verbal. 
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace 
  • Knowledge of Acumatica or similar accounting/inventory software is a plus!  
  • Ability to handle confidential information with discretion. 
  • Familiarity with the landscape design industry is a plus!
  • Proactive, self-motivated, and able to work independently. 
  • Detail-oriented with a focus on accuracy. 
  • Professional demeanor and positive attitude. 
  • Comfortable working in a fast pace, creative environment. 

Responsibilities

  • Manage phone calls, emails, and correspondence with clients, suppliers, contractors and support staff.  
  • Schedule client meetings, consultations and site visits. 
  • Coordinate the designer’s calendar, ensuring timely appointments and project timelines. 
  • Follow up on deadlines, project statuses, and material deliveries.  
  • Assist in preparing presentations, proposals and contracts for clients.  
  • Ensure that client expectations and timelines are communicated clearly and efficiently.  
  • Organize and maintain project files, purchase orders, receiving paperwork and documentation.  
  • Coordinate with Residential Billing Department to prepare and track invoices, payments and end of month billings.  
  • Maintain digital and physical filing systems for easy retrieval of project information. 
  • Assist in project tracking, including timelines and material sourcing. 
  • Communicate with suppliers and contractors to arrange materials and services. 
  • Assist in ensuring that projects stay within budget and are completed on time.
